- Handle incoming/outgoing letter - Manage all day-to-day administration requirements for all departments of the Building (Provision of stationery, personal matters of staff, management team event staff birthday party, team building trip, build up relations with the local authority to get support for building operation,...)- In charge of preparing staff attendance report - Check the monthly fee and confirm with the suppliers' accountant to issue invoices and process all payments timely and exactly to facilitate the smooth operation of the building ( Including monthly services such as cleaning service and utilities, security, landscape rental and maintenance, laundry, courier services, flower, stationery, pet control, scenting, Internet, telephone, garbage removal,...and other arising services) - Complete all task jobs required by a direct manager ( Including assisting a direct manager in preparing memos/letters for tenants' document translation, and reviewing supplier contracts) - Assist the Deputy Director in translation/preparing letters - Keep up-to-date database for building services and licenses (Update when required and send reminders to related departments for renewal when up to expiry date) - Back up for tenant manager when required ( Receiving and implementing tenant's requirement in the day including issuing access/parking cards, receiving documents from tenants,…) - Booking flight tickets, hotel, transportation..., for all employees. - Organize all parties for the company such as birthdays, year-end, and also some private parties.
